Sales reps are increasingly using AI tools to help with everything from lead generation to customer interactions. About 1 in 10 employees use AI weekly, and nearly half of those who use it (45%) say their productivity and efficiency has improved as a result. However, most employees still feel unsure about how to use AI in their roles. Only about 6% say they feel comfortable using it, compared to 32% who feel very uncomfortable using it.
If you want to help your team embrace AI, it helps to start with a clear AI policy. This can ensure sales reps use the tools effectively and maximize their potential. In this issue of PromoPro Daily, we highlight a blog post from ActivTrak that covers how to create an AI workplace policy in 4 steps.
Identify your AI goals. What do you want your team to accomplish with AI tools? Are you looking to save time, enhance innovation or increase competitiveness? The ActivTrak post recommends asking your staff how they currently use AI or how they want to use it. This helps set the stage for the “why” behind your policy. When you clearly define what your promo company wants to achieve with AI, it becomes easier to align your policy with the overall business strategy.
Seek AI policy input. Involve various stakeholders in the policy creation process. You might include IT specialists, sales reps and employees across various levels and departments to share their perspectives. The ActivTrak post says a collaborative approach encourages diverse viewpoints and increases buy-in from all employees. This inclusivity also fosters a sense of ownership, ensuring your policy reflects the values of the people most likely to use it.
Draft and communicate your policy. Your next step is to turn this information and input into an official AI workplace policy. It’s OK that you don’t know how your team will use AI in the future. Focus on what you know today and clarify your expectations on usage, data privacy and transparency. Once your policy is drafted, share it with your team and make it easy to access.
Regularly update and review. AI tools are constantly evolving, and your policy should too, the post says. Commit to regularly reviewing and updating your guidelines to ensure they reflect technological advancements, legal changes and evolving business needs. Keeping your policy up-to-date helps ensure your organization not only remains agile but also stays compliant and secure.
With a clearly outlined AI policy, you can empower your team to use AI confidently and effectively. Start by defining your goals and getting team input. Then, communicate your policy and regularly update it.
